Terms of Service
Last updated: 12 May 2026
These Terms govern your use of ePDF Studio at epdf.my and any associated software, APIs, and services we offer (the 'Service'). By creating an account or using the Service you agree to them. If you do not agree, do not use the Service.
1. Who we are
The Service is operated by ePDF Studio ("ePDF Studio", "we", "us", "our"), reachable at hello@epdf.my. You ("user", "you") are the natural or legal person who accesses or uses the Service.
2. The Service
ePDF Studio is a web-based PDF editor. The core editor renders and modifies PDFs entirely in your browser via pdf.js and pdf-lib; your files do not leave your device unless you explicitly use a feature (such as Save to Cloud, AI cleanup, or cloud-backed accounts) that requires server-side processing. We may add, remove, or change features at any time, including making features Pro-only or deprecating them with reasonable notice.
3. Accounts
Some features require an account. You must provide accurate information, keep your password confidential, and notify us if you suspect unauthorised use. You must be at least 16 years old (or the minimum age in your jurisdiction, whichever is higher) to create an account. You are responsible for activity under your account.
4. Subscriptions, billing and refunds
4.1 Plans
We offer a free Starter tier and paid Pro and Team subscriptions. Plan features, page limits, storage caps, and prices are described on the pricing page and may change for new sign-ups. Existing subscribers retain their current pricing for the remainder of any active billing period.
4.2 Billing
Paid subscriptions are billed in advance through Stripe. Charges renew automatically at the start of each billing period until you cancel. Prices on the pricing page are in US dollars unless otherwise stated and exclude taxes, which we add where required by law (including Malaysian Service Tax on Digital Services where applicable).
4.3 Cancellation
You may cancel at any time from your account page. Cancellation stops future renewals; access continues until the end of the current billing period.
4.4 Refunds (EU / UK consumers)
If you are a consumer in the European Union or the United Kingdom, you have a 14-day right of withdrawal under the Consumer Rights Directive 2011/83/EU (and its UK equivalent) from the date of purchase. By choosing to access paid features immediately, you expressly request that we begin performance during the withdrawal period and acknowledge that you lose the right of withdrawal once the digital service has been fully supplied. Where withdrawal still applies, contact hello@epdf.my within 14 days and we will refund the unused portion.
4.5 Other refunds
Outside the EU/UK consumer scenario above, paid plans are non-refundable except where required by Malaysian or applicable consumer-protection law, or where we offer a refund at our discretion (e.g., extended service outage).
4.6 Free trial
Pro trials, where offered, automatically convert to a paid subscription at the end of the trial period unless you cancel before the trial ends. We will remind you by email before the conversion.
5. Your content
You retain all rights in the PDFs and other content you process with the Service ("Your Content"). We do not claim ownership of Your Content and we do not use it to train AI models. You grant us only the limited licence we need to provide the Service to you — for example, to store your file in our cloud when you use Save to Cloud, or to send the text of a single page to a third-party AI provider when you trigger an AI cleanup feature.
You are responsible for Your Content. Do not upload material that is unlawful, infringes third-party rights, contains malware, or violates the Acceptable Use section below.
6. Acceptable use
You agree not to:
- Use the Service to process content that is illegal in Malaysia, your country, or the country of any data subject involved — including child sexual abuse material, content prohibited under the Sedition Act 1948, content that defames others, content that incites violence, or material covered by the Communications and Multimedia Act 1998 §233 (offensive, indecent, false or menacing communications).
- Attempt to gain unauthorised access to the Service, other users' accounts, our infrastructure, or the underlying source code beyond what is published.
- Scrape, mirror, or systematically extract data from the Service, or use it to build a competing product.
- Send unsolicited bulk email, malware, or attempt to deplete rate-limited resources or our AI quotas.
- Reverse-engineer the Service except where such restriction is prohibited by law (e.g., interoperability rights under Directive 2009/24/EC for EU users).
7. Intellectual property
The Service itself — including the editor UI, server code, brand marks, and documentation — is owned by ePDF Studio and its licensors and protected by Malaysian and international intellectual property law. Subject to your compliance with these Terms, we grant you a personal, non-exclusive, non-transferable, revocable licence to use the Service. Open-source components used in the Service remain governed by their respective licences.
8. Third-party services
We integrate with third-party providers (Stripe for payments, Anthropic for AI cleanup, our SMTP and hosting providers, etc.). Your use of features that rely on a third party is also subject to that third party's terms. We are not responsible for outages or actions of third parties beyond our reasonable control.
9. Service availability and changes
We aim for high availability but the Service is provided on an "as is" and "as available" basis. Scheduled maintenance, unscheduled outages, network failures, and force-majeure events may make the Service temporarily unavailable. We may add, modify, or discontinue features at our discretion. We will give Pro and Team subscribers reasonable notice (typically at least 30 days) before materially reducing the features included in their plan.
10. Disclaimer of warranties
To the maximum extent permitted by law, the Service is provided without warranty of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, secure against every threat, or compatible with every PDF file or browser.
Nothing in these Terms excludes or limits warranties or rights that cannot lawfully be excluded under the Consumer Protection Act 1999 (Malaysia) or, for EU/UK consumers, the Consumer Rights Act 2015 and Consumer Sales Directive 2019/771.
11. Limitation of liability
To the maximum extent permitted by law, ePDF Studio's total aggregate liability to you for all claims arising out of or relating to the Service in any 12-month period is limited to the greater of (a) the amount you paid us for the Service in that period, or (b) one hundred Malaysian ringgit (RM 100). We are not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, or for lost profits, data loss, or business interruption.
Nothing in this section limits our liability for fraud, fraudulent misrepresentation, death or personal injury caused by our negligence, or any other liability that cannot lawfully be excluded.
12. Indemnity
You agree to defend, indemnify, and hold ePDF Studio harmless from any claim, loss, or expense (including reasonable legal fees) arising out of (a) Your Content, (b) your breach of these Terms, or (c) your violation of any law or third-party right. This indemnity does not apply to claims arising from our gross negligence or wilful misconduct, and it does not apply to a consumer to the extent restricted by Malaysian or EU/UK consumer law.
13. Suspension and termination
We may suspend or terminate your account if you breach these Terms, if your account presents a security or legal risk, or if required by law. You may close your account at any time from the account page. On termination, your right to use the Service ends immediately and any data we hold for you will be deleted or anonymised in accordance with the Privacy Policy, except where we are required to retain it.
14. Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top of this page indicates when. For material changes we will give existing users at least 30 days' notice (by email or in-product). Continued use of the Service after the effective date of a change is your acceptance of the updated Terms; if you do not agree you must stop using the Service and may close your account.
15. Governing law and venue
These Terms are governed by the laws of Malaysia, without regard to conflict-of-laws principles. Subject to mandatory consumer law, the courts of Kuala Lumpur, Malaysia have exclusive jurisdiction over disputes arising out of or relating to these Terms.
If you are a consumer resident in the European Union or the United Kingdom, you also retain the protection of the mandatory provisions of the law of your country of residence, and you may bring proceedings in the courts of your country of residence. EU consumers may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
16. Miscellaneous
These Terms (with the Privacy Policy) are the entire agreement between you and ePDF Studio about the Service. If any provision is held unenforceable, the rest remain in effect. Our failure to enforce a provision is not a waiver of it. You may not assign these Terms without our consent; we may assign them in connection with a merger or sale of all or substantially all of our assets.
